Terms of Service

These Terms of Service ("Terms") govern your use of FoodProAI ("we", "us", or "our"), including our website and mobile application (the "Service"). By creating an account or using the Service, you agree to these Terms on behalf of yourself and the business you represent.

FoodProAI provides digital tools to help food businesses record and manage food safety and workplace records, such as temperature logs, HACCP checks, cleaning schedules, allergen information, and staff management.

The Service is a record-keeping aid. You remain responsible for your own food safety management system and for meeting your legal obligations under UK food hygiene and health & safety law. AI-generated guidance is for information only and is not a substitute for professional advice.

• You must provide accurate information when creating an account.
• You are responsible for keeping login details, PINs, and access codes secure, and for all activity under your business account.
• You are responsible for the staff accounts you create and for making sure your staff use the Service properly.

• Paid plans and add-ons are billed monthly in advance through Stripe.
• Prices are shown on our pricing page and may change with reasonable notice.
• You can cancel at any time. Cancellation takes effect at the end of your current billing period. We do not offer refunds for partial months unless required by law.
• We may suspend access if payments are overdue.

You own the records and content you enter into the Service. You give us permission to store and process that data only as needed to provide the Service. How we handle personal data is explained in our Privacy Policy.

Where you enter personal data about your staff, you act as the data controller and we act as your data processor under UK GDPR.

You agree not to:

• Use the Service for anything unlawful or to enter false records.
• Try to access other businesses' data or disrupt the Service.
• Copy, resell, or reverse engineer the Service.

We aim to keep the Service running smoothly but cannot promise it will always be available or error-free. We may carry out maintenance or make changes to features from time to time.

To the extent permitted by law, we are not liable for indirect or consequential losses, or for any fines, inspection outcomes, or losses arising from how you run your business. Our total liability is limited to the fees you paid us in the 12 months before the claim. Nothing in these Terms limits liability that cannot be limited under UK law.

You can close your account at any time from your account settings. We may suspend or close accounts that break these Terms. After closure, your data will be handled as set out in our Privacy Policy.

We may update these Terms from time to time. We will post the updated version here and update the "Last updated" date. Continued use of the Service means you accept the changes.

These Terms are governed by the laws of England and Wales.
